JOB TITLE: Coordinator, Client Events

GENERAL SUMMARY:
Global leading law firm Dechert is looking for a Coordinator, to join the Client Events team with 2+ years of experience. The successful candidate will assist with the planning of events, including seminars, webinars, client dinners, receptions, and sponsorships. Our ideal candidate is detail-oriented, has successfully worked on events in a law firm or similar setting, and is comfortable working independently when needed.
ESSENTIAL JOB FUNCTIONS:
Plan client events including roundtables, webinars and client dinners from concept to completion and post-event analysis/tracking of ROI with limited supervision.
Support the Associate Director, Global Events, and Senior Specialist, Client Events, on signature events e.g. Funds Congress, thought leadership events and key client dinner/drinks receptions.
Support planning, implementation, and post-event activities for the firm’s client events program.
Arrange the production of event materials including name badges, signage, and promotional items.
Arrange for shipping of event materials, such as banners and booths, including banner/booth set-up and tear-down.
Provide onsite events support and execution of related logistical duties.
Coordinate with internal and external vendors to implement event plans and logistics.
Respond to events inquiries and provide related resources and recommendations.
Use the firm’s CRM system (InterAction) to create event mailing lists, reports and update contacts as needed.
Use the firm’s email management system (Vuture) to update and create invitations.
Create artwork for invitations, signage and branded assets in Canva.
Use the firm’s content management system (AEM) to add new events to dechert.com and Q/A existing ones.
Updated Circa with key event data and ROI stats.
Source venues for private dinners, receptions, and other external social client gatherings.
Coordinate the purchase and distribution of client gifts.
Research, purchase, and distribution of event swag. Monitoring stock and event inventory.
Assist with the planning of other strategically key events such as Talent, D&I, Innovation and Pro Bono initiatives.
Perform all other duties as necessary and as assigned by your supervisor for efficient functioning of the events team, department, office, and firm.
QUALIFICATIONS / KSAs:
Bachelor’s degree preferred.
2+ years of event planning experience, preferably in a law firm or professional services environment.
Meticulous and organized.
Ability to travel and work overtime as needed.
Demonstrates a growth mindset, quickly learning and applying new tools, technologies, and skills.
Commitment to excellent internal and external client service.
Good oral and written communication skills. Good grammar, vocabulary and reading comprehension.
