Event Sales Executive
Description
The Event Sales Executive will have a strong focus on converting new enquiries and increasing commercial revenue in line with the agreed annual budget and targets, whilst acting as an exemplary colleague to other Event Sales team members. This will include a pro-active sales approach to maximise revenue for events and assisting with the organisation of Member and Investor events.
Responsibilities & Key Duties
Enquiry Answering and Sales Achievement:
Answer incoming enquiries and convert from prospect event to confirmed booking, to achieve sales targets and revenue.
Ensure all incoming enquiries are answered in a timely manner and managed appropriately. This includes checking of a joint email inbox for distributed enquires, participating in sales meeting, applying a fair and consistent provisional hold policy on all prospect events, and regular communication with clients.
Prepare and present effective enquiry replies and proposals.
Adhere to Event Sales team SOP's (Standard Operating Procedures) around enquiry answering and sales process.
Maintain excellent knowledge of venue capabilities to aid sales, site visits and offer support to Event Planners.
Host professional site visits to showcase the events space to existing and potential clients including clear booking with clients and having all needed information to hand during appointment
Demonstrate exemplary use of CRM system (Tripleseat) so that venue calendar / diary is well managed, account details are correct and so there is effective inter-team communication regarding prospect and confirmed events.
Building strong customer relations to increase repeat business, and maintaining of client database.
Proactively propose up-selling or cross selling opportunities to maximize revenue and improve guest experience, seeking external quotes on the clients behalf where needed.
Ensure all event bookings are contracted in timely fashion and accurate manner, with e-signing encouraged through the use of CRM system (Tripleseat) to send.
Ensure signed contracts are received by clients within 48 hours of issue and that status is correctly communicated via CRM system at all times.
Once signed contract is received, introduce client to Event Planners in a timely and professional manner. This includes updating of CRM system to flag the handover has been completed.
Work with Event Sales Manager and Senior Event Sales Manager to ensure that all event deposits are received within 5 working days of Issue of event contract, and encourage online payment where possible to avoid aged debtors.
Work with Event Sales Manager and Senior Event Sales Manager to ensure all event bookings are paid 30 days prior to event date as per event contracts.
Event Planning
Collate details on CRM (Tripleseat) regarding event plans pre-confirmation to assist with later planning of confirmed bookings. This includes detail of payment dates, scheduled planning calls, deadline for menu choice and final numbers / allergens deadlines.
Where appropriate, assist and support Event Planners by liaising with clients to generate a Banqueting Events Order (BEO). Ensure Event Planners have all relevant information they need to plan confirmed events.
Where appropriate needed, meet and greet clients on arrival to aid retention.
Business Development and Sales Planning
Support the delivery of sales and marketing strategies with the intention of maximising revenue and profit and embedding improved process across Event Sales team and other relevant departments.
Ability to recognise potential account growth and work with Event Sales Manager & Senior Event Sales Manager to foster further business opportunities.
Support competitive market research when requested to review pricing and experienced service, propose improvements when appropriate.
Develop/maintain knowledge of market trends, competition and customers.
Support Event Sales Manager & Senior Event Sales Manager in hosting networking events and FAM trips to generate future leads and business opportunities.
Attend industry trade shows with the rest of the Sales Team and other community or industry event / meetings when required to showcase The Conduit.
Customer Service
Handle all telephone calls in a polite and professional manner, according to the Conduit standards
Conduct professional and thorough site visits with prospect and confirmed events, showcasing the venue and its capabilities.
Consistently achieve a high level of customer satisfaction by exhibiting a positive attitude and building trust, ensuring commitments are met and expectations are exceeded by understanding client’s needs and priorities.
Build strong working relationships with our Director of Partnerships, Membership team, Founding Members, Members and Investors (all key stakeholders) ensuring a high level of customer service.
Escalate client complaints to Senior Event Sales Manager & Senior Event Planning Manager for reply and follow up.
General
Be an Ambassador of the Conduit – spokesperson, advocate and supporter.
As Event Sales Executive you should lead by example and maintain a professional image at all times.
Develop and maintain relationships with partners and suppliers.
Assisting in the efficient day-to-day running of the events office.
Adhere to all Company Policies and Procedures
Actively champions and promotes The Conduit Diversity, Equity & Inclusion Strategy
Supports and contributes to the overall success of The Conduit
Focus events business on ensuring the department and all events align with the Conduit’s ethos around sustainability and positive social change.
Maintain good understanding of The Conduit’s philosophy, objectives and practice good stewardship.
Accept any reasonable duties given to you from time to time by the Director of Operations, Head of Events or Senior Event Sales Manager.
Alongside your key duties you may be asked to complete other tasks as and when necessary and reasonably required in line with business needs.

Skills & Experience
1 - 2 years of relevant work experience in sales position
Preferably degree level education in Hotel/Event Management
Excellent written and oral communication
Strong interpersonal skills and strong ability to work within a team
Excellent organisational skills
Proficient with Microsoft Office
Experience with different CRM systems preferable
Network of highly influential and high achieving contacts
